Summary:
Responsible for overseeing and performing all aspects of the Mayor's Court.
The primary objective or duty is to manage the pleadings and other documents filed in cases of all types pending before the court.
Managing these materials includes overseeing the filing system, regulating access to documents on file and responding to requests for copies of documents.
Responds to request for information about pending cases and court guidelines.
Essential Job Duties:
Processing criminal and traffic files Issuing warrants Collections and monthly disbursements (Walton Hills, Garfield Heights, Municipal Court, Cuyahoga County Treasure and State of Ohio) Maintaining all criminal/traffic documents and indexes.
Preparing Supreme Court quarterly reports.
Maintain communications with all departments as required, including the Law Department, Prosecutor's Office, Garfield Heights, Municipal Court Clerks and Judges Bank deposits Computer back-up as required Purchasing and preparing yearly Court budget Monthly reports to the county treasurer, the police department and Mayor.
Report points and suspensions to the Bureau of Motor Vehicles Reconciliation of monthly bank statements Bond forfeitures Expungements Maintaining attorney and bond company information Networking with the superior court (Garfield Heights Municipal Court) Updating Bureau of Motor Vehicle codes Forwarding code updates to the police department and law department Training, instruction and assistance to Deputy Clerks Preparing Walton Hills Mayor's Court docket Preparing prosecutor's docket Assist and prepare for state audit(s) Prepare dockets or calendars of cases to be called Prepares and issues orders of court, including probation orders, release documentation, sentencing information, miimus papers and summonses Affirm official documents Explain procedures or forms to parties in cases or to the general public.
Search files and contacts witnesses, attorneys an litigants to obtain information for the court.
Maintain a knowledgeable resource for information about court policies, procedures and functions of the court(s).
Other duties as assigned.
Required
Qualifications:
High School diploma or GED equivalency The ability to listen and understand information and ideas presented through spoken words or sentences.
The ability to communicate information and ideas in speaking and written form so others will clearly understand the content The ability to arrange things or actions in a certain order or pattern according to a specific rule or set of rules.
They must make sure that they follow instructions according to the letter of the law and per instructions of the Judge or Magistrate.
The ability to see things at close range, often a lot of reading is required as well as writing; to proof discoveries before any action is taken.
A knowledge of laws, legal codes, court proceedings, orders, agency rules and political processes.
The ability to identify and understand the speech or another person or persons.
Must be able to maintain a professional image and be able to get along with and deal with others.
Must have basic computer skills and be proficient in Microsoft Word, Excel Baldwin Group and Supreme Court reporting.
Basic secretatial, clerical and offices skills, along with professional telephone etiquette, to satisfactorily perform the duties of the position.
Be sworn in by the Walton Hills Mayor's Court and Garfield Hights Municipal Court as Deputy Clerk.
